How to use automatic balance matching and PDF references

To assist users in reconciling accounts by attaching a PDF, using automatic balance matching, and in creating and navigating their own references.

Overview: When you attach a PDF to a record in any Active Workpapers binder, Active can reconcile the account for you. As the PDF uploads, Active scans it in real time, finds the figure that matches the account balance, and pre fills the reconciliation amount. You can attach several PDFs at once, and you can also mark any other figure yourself and return to it in one click. This means less scrolling through pages of a statement to relocate a number you have already found.

Automatic balance matching

When you attach a PDF as a record, Active scans it for the account balance in real time as it uploads, instead of waiting until you save. If it finds a balance that matches the account balance, it pre fills the reconciliation amount and reconciles the account for you. The pre filled amount is still fully editable. The account balance also appears in the header of the create record window, so you can see what Active is matching against.

  1. Add a record to the account you want to reconcile and open the document.

  2. Attach your PDF as a supporting document.

  3. As the PDF uploads, Active scans it and pre fills the reconciliation amount when it finds a matching balance. The account is marked as reconciled, and the pre filled amount stays editable.

Note: If the same balance value appears more than four times in the document, Active does not guess. It flags the document so you can confirm and reconcile it manually.


Reconcile several documents at once

You can attach several PDFs to an account at once from the Documents tab. Active scans every attached PDF in one pass, highlights the documents that match the account balance, and sets the reconciliation amounts in a single update. This is faster than attaching and checking each document one at a time.


Create your own references

You can reference any number or section yourself, at any time. This is useful when you are flagging a figure a reviewer will need, or marking something the automatic match did not pick up.

  1. Open the attached PDF.

  2. Click + Add reference.

  3. Draw a box around the figure you want to mark, such as a transaction, a note, or a total. Give the reference a label and save it.

You can add as many references as you need on a single document. Each one is clickable, so you can return to it instantly.


Jump to a reference

However a reference is created, automatically or manually, clicking it takes you straight to the exact page and area on the document. You do not need to scroll through pages to find a figure again.
