Creating a binder
Navigate to the relevant client you wish to roll a binder over for and click on the Wp icon.
Select + New Binder to begin the process.
There are a two options when creating a binder in Active Workpapers - 'Create from scratch' and 'Rollover from previous period'. Since we are rolling from an existing binder, we will choose to proceed with Option 1.
Note: If your binder is stored locally or in another document management system, or you are a Smart Workpapers user and wish to rollover a binder, you would select to proceed with Option 2.
Click the drop-down and select the binder you wish to rollover from.
Choose the binder template you wish to use and review the default binder details, including the prefilled start and end date of the binder which is based on the financial year after the binder you are rolling over from, as well as updating the status of the binder to 'In Progress' for example.
Press Create Binder.
Click Open Now to open the binder.
Select the source you wish to use, generally this will be the same source as you used for the client in the last financial year which is marked as 'Previously Connected'.
Review the financial data and calculation columns which will automatically prefill to be the current financial year as the primary column and previous financial year as the comparative. Add any other columns you wish, for example a dollar variance column to compare column 1 with column 2, and once happy, click Continue.
If the ABN, TFN and Tax Agent details are already added for the client, these details will pre-populate for you on this screen. If you wish to connect the binder to the ATO, which we highly recommend, click Connect & Import.
You will have to login to the Platform again before you are able to proceed.
The binder details will be inherited from the prior year. Unless any details have changed, click Complete.
As you work through your binder, and most noticeably on the Bulk Insert pop-up, you will notice that any records that we selected to be rolled over in the previous year have been tagged with a Rollover icon. You are able to use the Bulk Insert wizard to pre-populate all of these worksheets into your binder by selecting the checkboxes for these records and clicking Bulk Insert.
Alternatively, you can click No Thanks to the Bulk Insert pop-up and do it manually instead.
As you work through your job, you are able to individually and accept or reject the rollover records as you would normally with recommended records.
