How to move a Ledger File to a new client

A guide to assist Active Platform Admins with moving a Ledger file between Clients.

Overview: In certain scenarios, you may need to move an Active Ledger (LR) file from one Client or Client Group to another. This article explains how to safely perform that process.

e.g. Moving the LR file from this client to a different client.


WARNING: Important Notes:

  1. Only experienced Active Platform Admins should attempt this process.

  2. We do NOT currently support moving Active Workpapers binders between Clients due to backend SharePoint dependencies.

  3. We do NOT support moving Consolidated Ledger files between Client Groups, as consolidated files are linked to multiple entities.

  4. Please contact Support before proceeding with the steps below to ensure it's suitable for your use case.


Steps to Move a Ledger File

  1. Open the Ledger File
    Start by opening the Ledger file you intend to move.

  2. Go to File Settings
    In the top-right corner of the screen, click File Settings, then select Edit File.

  3. Click "Move to New Entity"
    Select the Move to new Entity button.
    This will allow you to move the Ledger file to another Client or Client Group in the system.

  4. Once the Ledger file is moved to the new Client please open the Ledger file and visit the same screen as above to ensure it has inherited the correct Ledger file name. Also ensure the reports in the moved Ledger file work correctly as a lot of the report content fields may be depending on things like Entity type/Client details etc.

Tip: Once the Ledger file has been moved to the new Client, please reopen the file and return to the File Settings > Edit File screen to confirm that it has inherited the correct Ledger file name.

Additionally, review the reports within the moved Ledger file to ensure they function as expected. Many report fields may rely on attributes such as Entity Type or Client details, which could be affected by the move to the new client.
