How to set up and use Active Documents - FuseSign e-Signature Integration

To assist admin users in setting up and using the Active Documents - FuseSign e-Signature integration.

Overview: The Active Documents - FuseSign e-signature integration allows users to send documents straight from Active for e-signature through FuseSign, track their status as they are signed, and find the signed copies back in the client's Document once complete.


Prerequisites

  • The firm needs a FuseSign account. If your firm doesn't have one yet, sign up at FuseSign before connecting the integration.

  • Connecting the integration is done once per firm by a user with access to the Admin Centre.

Note: To set up this integration in Active, users need to have administrative access to both systems. Once an administrator has finished setting up, the integration becomes available for all users with access to a client's documents to send for signature.


Setup

To set up the Active Documents - FuseSign integration, follow these steps:

1. Log in to the Active homepage and navigate to Admin Centre by clicking on your username.

2. In the Admin Centre, under the Firm banner, select Integrations.

3. Locate the FuseSign tile and select Configure.

4. This will open the FuseSign connection page with setup instructions. Firms with multiple offices can restrict which offices are allowed to send through FuseSign via the Applicable Offices setting on the FuseSign configuration page. The default set is All offices.

Note: Ensure the user who is setting up the connection has valid administrator access and privileges in FuseSign when setting up the integration.

5. A pop-up will open from FuseSign where users can login with their administrator credentials. Populate the email address or username, and the password.

6. Upon successful sign in and authorisation, the user will be navigated to an authorisation page where the user needs to confirm to authorise the configuration. Click the Authorize for [your firm name] button to confirm authorisation.

Once successful, users will get redirected to Active. The FuseSign configuration page will have a green banner indicating the integration is connected.

The Integration List page will also show FuseSign as Connected.


Send documents for e-signature

Once the integration with FuseSign is connected, to start sending documents for signature, navigate to the Clients and select or search for the client you want to send documents for.

In the client's page, click on the Documents tab and Client Documents sub-tab to access the client's list of documents.

Select the checkbox next to one or more documents you want to send for signature. Once ready to send, click on Send for Signature.

A Send for Signature pop-up will display for you to populate the details.

Sending via

Confirms the connected e-signature provider.

Envelope Name

Pre-filled from the document name(s) selected. Editable, this is the name your client and your firm will see for this signing request.

Message

An optional note included for the recipient(s).

Send to

Choose a contact for the client. If the client has no saved contacts yet, this is where you'd add one first.

Document list

Shows every document included in the envelope, with the option to Add more documents to the same envelope.

You have three options at the bottom of the panel:

  1. Cancel will close the modal without sending.

  2. Save Envelope will save your setup as a draft to come back to later, without sending it yet.

  3. Send for Signature will continue on to FuseSign to finish setting up and send the envelope.


Complete setting up the envelope in FuseSign

Selecting Send for Signature hands the envelope off to FuseSign, which opens in a new browser tab. This is where you will need to:

  1. Confirm or enter the signing party's email address (and add any additional signers, if required).

  2. Drag and drop signature fields into the correct locations in the document.

  3. Review the envelope and send it from within FuseSign.

Note: This step happens inside FuseSign's own interface, not Active. Active hands over the document and recipient details you entered, but field placement and the final send action are completed in FuseSign.


Tracking envelope signing progress

Once you return to Active, you can track the progress by navigating to the Documents tab and clicking the Envelopes sub-tab for that client.

Envelope status

The status applied on an envelope indicates the current stage of signing for the document. There are three different statuses available for an Envelope:

Meaning

Draft

The envelope has been created in Active but hasn't been sent from FuseSign yet. Action available: Send for Signature.

Sent for Signature

The envelope has been sent and is awaiting the recipient's signature. Action available: View in FuseSign.

Signed

All parties have signed. The signed copies are now available in Active.

Document copies

Active maintains a clear record of every version of the document throughout the signing process. Each document sent for signature ends up with:

  • Original is the document as it was before sending, unchanged.

  • Sent Copy is a locked copy of exactly what was sent to FuseSign.

  • Signed Copy is the fully executed document returned by FuseSign once all parties have signed, named with a _signed suffix.


Finding your signed documents

Once an envelope is fully signed, navigate to the Documents tab, and click Client Documents to see the client's full list of documents.

Signed documents will appear as a group showing all related files, with an overall status of Signed:


FAQ

Can I send more than one document in the same envelope?

Yes. Select multiple documents before choosing Send for Signature, or use Add more documents inside the Send for Signature panel.

What if the client doesn't have a saved contact yet?

The Send to field will show "This client has no contacts yet." Add a contact for the client first, then return to send the document for signature.

Can I edit an envelope after saving it as a draft?

Envelopes saved with Save Envelope appear in the Envelopes tab with a Draft status, from which you can pick up and select Send for Signature when ready.

Do I need a FuseSign login to send documents?

Yes, a valid FuseSign login or credentials are required to send documents.

Can I restrict which offices are allowed to use FuseSign?

Yes, the Applicable Offices setting on the FuseSign configuration page controls this and can be set to All offices or specific offices.
