Overview: The Accounts toggle should be used when a user would like to journal to a standard account or an unused source account.
Please refer to the Glossary for definitions of key terms used in this article.
Overview
Users may choose to use the Accounts toggle in the journals screen when they need to journal to:
Standard accounts within their standard chart
Unused accounts that exist in the source system but have not yet been used in Active
New accounts (including split accounts) without need to create them first in the Accounts screen
How to use the Accounts toggle in the journal screen
Open an existing dataset or create a new one. Navigate to the journals screen, and you will now see a new toggle called 'Accounts' above the journaling table:
β
Tip: If you are not seeing all your source accounts (including those that exist within the source system but are unused), reload the data in your dataset by selecting Load Data to refresh the accounts.
Once in this screen, users will be able to now key in account names and numbers of not only source accounts, but also the numbers and names of standard accounts or unused accounts.
If journaling to a standard account that is not yet linked to a source account, the user is presented with a dropdown to select the same. Users may also create a split account in this screen if required.
Tip: Look for the 'New' icon which will denote any standard account that is not currently in use or linked to a source account
If an account is not yet linked to a source account, you can select the source account from the above dropdown. To find accounts that are in the source, but not yet in use in Active, look for the greyed out accounts.
Tip: If you would like to create a split account, click on the hyperlink to be taken to the above modal.
Once the relevant accounts are linked to the appropriate source, go ahead and key in the journal as usual and press Add Journal.
Note: If an account is linked to multiple source accounts, the journal will be posted to the first account in the list related to the source being journaled to.
Once the journal has been saved, the Source Account tab will show the impact of the journal against the relevant source accounts
You can now run reports and balancing journals and select the account type to view the balances against the Source Account or Account.
