How to troubleshoot errors when rolling over a binder

Overview: This article will assist users in troubleshooting errors that occur when rolling over a binder.


Resolution


Check for Issues in the Prior Year/Period Binder

Please ensure that you can open the prior year binder in the Excel desktop application and that the Excel task pane loads successfully.

Common issues in the prior year binder that may prevent rolling over binders:

  • The binder has never been activated/opened in Excel.

  • The binder is corrupted.

  • The excel workbook file size is too large

  • One of the custom sheets is using too many rows (e.g. hundreds of thousands of rows). OR too many unused columns.


Look for Corruption

Check for Excessive Rows or Columns

In your prior year binder, verify that none of your custom sheets are using excessive rows. Use the vertical scroll bar as an indicator—if the scroll bar is very small, the sheet may be using millions of rows, which can cause export failures.

Here is an example of two Excel workbooks where a custom sheet is using millions of rows:



You can check if a sheet is using millions of rows by printing your Excel workbook to a PDF. You can do this by going to File > Print > Print Entire Workbook.


If the resulting PDF contains hundreds of thousands of pages, a sheet is likely consuming unnecessary rows. Clean up the sheet, save and try the rollover again.


Similarly, check the horizontal scroll bar. If it’s very small, there may be many unused columns.


Check File Size and Format

To check:


Open the binder in Excel Online using the Open in Excel Online button.


Click the file name at the top and select the far right location path as shown below:


Then Click the three dots (...) and select Details.. Scroll down in the taskpane on the right and review the file type and size.


Ensure the binder meets these requirements:

  • Format: Must be .XLSX

  • File size: Must be less than 100MB


Ensure you are creating a binder for a supported period

Binders created for unsupported financial years may fail rollover because mandatory sheets (e.g., tax rates, CTR, etc) do not support that period.

To check:

  1. Go to Admin Centre > Binder Templates.

  2. Identify any mandatory records used in your chosen binder template.

  3. Go to Admin Centre > Record Templates.

  4. Open each mandatory record and scroll to the Files section to confirm a file exists for the financial year you’re creating.

Note:

  • Binders cannot be created for financial years 2020 and prior.

  • Creating binders too far in the future may not be supported.

If you still need to create binders for an unsupported period, please consult your Active Platform Admin to see if they can create a custom binder template for your firm that has no mandatory record recommendations. Using 'optional' or 'recommended' type record recommendations is fine.
