How to set up document categories

To assist admin users in setting up document categories for Active Documents.

Overview: Admin users in the Active Platform can set up and manage document categories for their firm using the Admin Centre. This article guides users through accessing the Admin Centre, adding a new document category, and editing or deleting existing document categories. Each firm must have at least one document category.

Please refer to the Glossary for definitions of key terms used in this article.


Accessing the Admin Centre

Navigate to the Active Platform home page. Click on your name icon and click Admin Centre.

Click on Document Categories under the Documents banner.


Adding a document category

To add a new document type, click New Category.

A pop-up will appear where you can enter the details for the document category.


Name
The name that will be used to identify the document type.

Area
This determines where documents with this type are stored and how they are used. Select from three options:

  1. Clients: Documents are treated as client documents and correspondence and can be associated with or linked to specific clients.

  2. Internal: Documents are treated as internal firm documents and correspondence.

  3. Templates: Documents are treated as templates that can be used to generate client or internal documents.

Once happy, click Add to save the document type in Active.


Editing or deleting a document categories

To update or delete an existing document type, click on the document categories in the list.

A pop-up will appear where you can make changes to the existing information for the document type. Users can modify the Name and the Area for that document type.

Once happy, click Save to save the changes for the document type.

To delete, click the Delete button.


Follow the prompts to delete the document type by clicking Yes, I understand the consequences in the dialog box.

Note: Document categories that has a document assigned to them cannot be deleted. Move any existing documents to a different category before deleting.
